Your Polycom phone is the physical phone located at your Penn Workstation. It is part of the PennFlex Phone system that works in conjunction with the Webex software installed on your computer and the Webex app that you can choose to install on your smartphone or tablet.
There are two ways to configure your Polycom phone:
- Using the Vonage Enterprise Portal website
- Using the physical buttons on your phone
1. Using the Vonage Enterprise Portal website:
You can use the Vonage Enterprise Portal website to access and configure these features:
- Modify your profile information
- Voicemail greetings, password
- Call forwarding
- Email notifications
- Do not disturb
- Call waiting
- Call rejection
- Annoucement repositity
- Listen to voicemail
- Add a mobile phone number
- Review your call analytics
To visit the Vonage Enterprise Portal
Go to: https://enterpriseportal.vonage.com/ci/index.php/app/sso-log-in/penn-saml-provider
Select "Log In" and Log in with your Pennkey and password.
After logging in with your Pennkey you will see your dashboard where you can access all the settings and features available for the PennFlex phone system.
2. Using the physical buttons on your Polycom phone.
Check your voicemail:
- From your Polycom phone: Press Messages button or dial 99999, then #.
- From another Polycom phone: Dial 8-6423 from another phone, enter mailbox ID, enter the passcode, then #.
- From non-Penn Phone: Dial 215-898-6423 from a non-Penn phone, enter mailbox ID, enter the passcode, then #.
Change your voicemail password:
You can change your PennFlex Phone system voicemail passcode using the following methods:
- From your Polycom phone: Press messages button or dial 99999, then #. Press 8 to set a new passcode.
- From another Polycom phone: Dial 86423, enter the mailbox ID, enter the passcode, then #. Press 8 to set a new passcode.
- From non-Penn phone: Dial 215-898-6423, enter the mailbox ID, enter the passcode, then #. Press 8 to set a new passcode.
To make a phone call:
- To make a call using a full 10 digit number such as 215-898-1988, dial the number and it will connect automatically
- To make a call using a Penn 5 digit number such as 8-1988 you must press the send button to make the call
Silence your Polycom phone:
If you prefer to use the Webex software on your computer, you can silence your Polycom phone by following these instructions:
1. Press the "home button" to bring up the main menu
2. Press the directional button to navigate to the “Settings” icon option on the main screen
3. Press the center button of the directional button to open “Settings”
4. In Settings, press the directional button to select "Basic"
5. In Basic, press the directional button to select "Ring Type"
Note: If you have two or more lines, select the line(s) that you want to silence.
6. Press the center button of the directional button to select "Silent Ring". The option will be checked to indicate it is selected.
7. Push the "home button" twice to exit the menu.
