Logging into the web client

 

  1. Navigate to https://portal.xmedius.com/upenn
  2. Click the blue Sign In button
  3. Sign in with your Penn email address (pennkey@upenn.edu) and password
  4. Approve the login with Duo
  5. If this is your computer that you'll be logging back into, go ahead and click "Yes, this is my device"



Receiving a fax

  • Click on Inbound History in the left sidebar
    • Current shows all faxes saved in the cloud
    • Deleted shows all recently deleted faxes
  • The Search bar and Sort feature can help you find specific faxes
  • Click on any fax to display the fax details


  • The Fax Details View includes controls to Download, Forward, and Delete a fax
  • The Fax Details View also includes five tabs to do the following:
    • Fax – Displays the content of a received fax
    • Properties – Displays the fax information
    • Routing History – Displays the routing information and history for the fax
    • Note – Allows users to add personal text notes to Inbound and Outbound faxes
    • Event Log – Displays all events that occurred and all actions that were performed on the fax



Creating and sending a fax

  

  1. Click New Fax
  2. In the Compose window, enter the Name, Company/Department, and Fax Number of a recipient
    1. NOTE: Click More Recipients if you want to send to multiple people 
  3. Choose the desired cover sheet from the Cover Sheet dropdown list or select None
  4. Enter the Subject of the fax
  5. Enter the actual text of the message in the Comment section
  6. To add one or several attachments to your fax, click Browse and select the file(s) from your computer to upload to the fax
  7. Click Submit to send the fax
    1. NOTE: Check Outgoing Queue to see all current, outgoing faxes
    2. NOTE: You will receive a copy of the outgoing fax in your email as a confirmation




Retention Policy

The default retention policy for the PennFlex eFax service is 90 days. After 90 days, fax messages on the system will be deleted. For access to fax messages beyond 90 days, we ask that you download and store them in a secure location.
