This is the main page of the SharePoint portal where you can see your frequent sites. 




This is a SharePoint Site where you can see your recent activity as well as news and announcements for your team.


Select "Documents" to this SharePoint Site’s files stored on the cloud or use this link:

The SharePoint Documents tab functions similarly to network drives and the File Explorer on your computer, with some additional features:

Selecting the three dots icon to the right of the file/folder name will bring up a menu of things you can do with that file/folder. 


  • "Open" will let you choose "Open in browser” to work on the file via the web browser, or “Open in app” to work on the file locally via the app installed on your computer (might be necessary if you need specific features only available on the computer version). 
  • "Copy" allows you to share a file/folder with a coworker easily (they can only access it if they already have permission; if they don’t have permission, they can request it).




Version history brings up a menu where you can revert a file to a previous version. 

  • No more saving multiple versions of the same document. 
  • See who made changes and when. 
  • Can always revert back to the most recent version.

Savings Files to SharePoint Site (DOF-RMI) 
 

 

 



 




If you’re using the Office apps installed on your computer, it is important to ensure you save documents in SharePoint and not locally on your computer. 


  • There are two ways to get to the “Save As” window so you can choose the save location. 
    • File > Save As > Browse 
    • Ctrl + S > More options... > Browse 


Paste the following link in the address bar and hit Enter: https://penno365.sharepoint.com/teams/DOF-RMI/Shared%20Documents/. 

  • The Save As window will now show the Shared Documents folder in SharePoint. You can navigate to the correct subfolder and save your file there. 
  • After you save, all future saves on that file will use the same location (automatically creating new versions). 
  • To avoid confusion on saving locations, it is best practice to go to the correct location in SharePoint and create a document there, then “Open in app” if you don’t want to work on it via the web browser.

Select the nine dots icon in the top left corner to bring up the App Launcher. 


  • You can launch Microsoft Office web apps from the App Launcher. 
  • All Office desktop apps are available as web apps, including Outlook and Teams. 
  • Web apps are missing some features present on the version installed on your computer. 
  • Web apps are useful as a temporary workaround if the app installed on your computer isn’t working.




Working with PDF documents in SharePoint 


  1. Open up Adobe Acrobat (Pro) application.
  2. Select the “Home” option under “File.”  
  3. Select “Add file storage” from the left-side margin.  
  4. Select the “Add” button under “SharePoint Site” 




  5. Enter the custom account name (your preference) of the File Storage and URL address of your SharePoint documents.  
  6. Select the “Continue” button.  
  7. The File Storage account name should appear in the left-side margin.  

    NOTE: Each SharePoint has its own URL path.
